Every tanker, verified — catch the short delivery before you sign

A tanker rolls in, you sign the challan, it rolls out — and you never really knew if you got every litre. Here's how recording a fuel receipt with before/after dip turns delivery into proof, and how TruFuelPro flags a shortage on the spot.

What is a fuel receipt?

A fuel receipt records a tanker delivery: the invoice/challan number, the supplier and carrier, the challan quantity, and the compartment details. But the number on the challan is a claim — the proof is your tank. By reading the dip before unloading and the dip after, you measure exactly how much fuel actually went into the ground, and compare it to what you're paying for.

Skip it, and a small short-delivery here and there quietly adds up to a serious loss over a year. Record it, and every tanker becomes a verified transaction.

Received (blue) = dip after − dip before. Variation vs the challan is green when it matches, red when it's short — a 60 L (₹5,940) shortfall caught before signing.

How the check works

  1. Dip before — read the tank before the tanker unloads.
  2. Dip after — read it again once decantation is complete.
  3. Received = Dip after − Dip before — the litres your tank actually gained.
  4. Variation = Received − Challan quantity. Negative means a short delivery or a leak; it's flagged before you sign the paperwork.

One entry, three registers

A fuel receipt in TruFuelPro also captures the on-receipt density (checked against the challan in your density register) and pushes the received quantity into that day's DSR. Record the delivery once; stock, quality, and reconciliation all update together.

By hand vs. with TruFuelPro

Sign and hope
  • Challan signed without checking the tank
  • Short deliveries that only show up as monthly shortage
  • Delivery, density, and DSR entered three separate times
With TruFuelPro
  • Before/after dip compared to the challan, live
  • Shortfalls flagged before you sign the challan
  • One entry updates density and DSR too

Fuel receipts — frequently asked

What is a fuel receipt at a petrol pump?

It records a tanker delivery: invoice/challan number, supplier, carrier, challan quantity, and compartment details. Recorded against the tank dip before and after unloading, it verifies the station actually received the fuel it's paying for.

How do you catch a short delivery?

Take the dip before and after unloading. Received = dip-after minus dip-before. Compare it to the challan quantity — if the tank gained less than the challan says, the load is short (or the tank is leaking), and TruFuelPro flags it before you sign.

Does TruFuelPro link deliveries to density and DSR?

Yes. Every receipt captures the on-receipt density (compared to the challan in the density register), and the received quantity flows into the DSR as that day's receipt — so stock, quality, and delivery all reconcile from one entry.

Why record before/after dip for every tanker?

It's the only objective proof of what physically entered your tank. Small unnoticed short-deliveries add up to a large loss over a year. Logging before/after dip on every delivery turns a guess into a number you can act on.
